Privacy Policy
Effective Date: November 3, 2026
Stronghold Tax Advisors LLC (“Stronghold,” “we,” “us,” or “our”) respects your privacy and the confidentiality of your tax and financial information. This Privacy Policy describes how we collect, use, disclose, and protect information in connection with our website, communications, and professional services.
Our professional services are governed by a separate engagement agreement. This Privacy Policy does not replace that agreement, any required privacy notice, or any separate authorization required by law.
Information We Collect
The information we collect depends on your interactions with us and the services you request.
Inquiries and communications. We may collect your name, email address, telephone number, business name, scheduling details, and information you provide through inquiries, consultations, or other communications.
Client and service information. When providing professional services, we may collect identifying, tax, financial, and business information, including Social Security numbers or other taxpayer identification numbers, dates of birth, tax returns, income and expense records, employment information, investment and retirement information, financial account information, and information concerning spouses, dependents, owners, beneficiaries, or other relevant persons.
We receive this information from you, documents and forms you provide, our transactions and communications with you, and other sources as authorized or permitted by law. These sources may include taxing authorities, prior preparers, financial institutions, payroll providers, and your authorized representatives.
Website information. Our website and its service providers may collect technical information, including IP addresses, browser and device information, pages visited, and interactions with website features, through cookies, logs, and similar technologies.
Please do not submit Social Security numbers, tax returns, financial account details, or other sensitive information through public website forms, ordinary email, or text messages. Use our secure client portal or another secure method we approve.
How We Use Information
Subject to applicable confidentiality requirements, we use information to:
- Respond to inquiries and schedule consultations.
- Establish and administer client relationships.
- Provide agreed-upon tax preparation, planning, representation, accounting, and related services.
- Communicate about engagements, documents, deadlines, and service matters.
- Process payments and maintain business records.
- Operate and maintain our website and business systems.
- Protect information, verify identity, and address fraud or unauthorized activity.
- Meet legal, regulatory, and professional obligations.
We may also provide educational information or communications about our services where permitted by law. Tax return information is subject to the additional restrictions described below.
Confidentiality of Tax Return Information
Federal law restricts the use and disclosure of tax return information. We use or disclose that information only as permitted by Internal Revenue Code §7216, its implementing regulations, and other applicable law.
When a proposed use or disclosure requires your consent, we obtain a separate consent that satisfies the applicable requirements before proceeding. This may include sharing information with a financial advisor, lender, attorney, family member, or other third party when no legal exception applies.
Visiting our website, submitting an inquiry, acknowledging this Privacy Policy, or signing an engagement agreement does not, by itself, constitute consent to a use or disclosure that requires separate authorization under §7216.
A referral, family relationship, or payment of your fees by another person does not, by itself, authorize that person to receive your confidential information.
When We Disclose Information
We do not sell or rent your personal information. We do not disclose client information to third parties for their own marketing purposes.
We may disclose information in the following circumstances, but only to the extent permitted by applicable law and any required authorization:
- Providing services. To taxing authorities, authorized representatives, and other recipients as necessary to perform the services you have engaged us to provide.
- Supporting our operations. To personnel, contractors, and service providers supporting tax preparation, software hosting, secure document exchange, electronic signatures, scheduling, communications, payment processing, recordkeeping, and information security.
- At your direction. To persons you authorize, after obtaining any separate consent required by law.
- Legal and professional matters. To comply with applicable law or valid legal process, respond to authorized regulatory inquiries, or address professional liability, legal claims, fraud, or security incidents, where disclosure is legally permitted.
- Practice continuity. In connection with a permitted transition, sale, or closure of the practice, as described below.
Depending on the purpose, these disclosures may include identifying and contact information, tax and financial records, engagement information, or payment and transaction information. We limit disclosures to information appropriate for the permitted purpose.
We require personnel and service providers with access to confidential client information to maintain appropriate confidentiality and security protections. Using a service provider does not remove our obligation to comply with applicable restrictions on tax return information.
We apply these disclosure practices to both current and former clients.
Practice Continuity and Transfers
If the firm’s owner becomes unavailable, incapacitated, or dies, or if the practice is sold, transferred, or discontinued, arrangements may be made for an appropriately qualified practitioner or other legally authorized person to safeguard records, communicate with clients, and assist with continuing or transferring services.
Access to and transfer of client information remain subject to applicable confidentiality laws, professional obligations, and any required client consent. A change in ownership or management does not, by itself, authorize unrestricted access to tax return information.
Affected clients will receive notices and information about their options as required, including obtaining their records and selecting another practitioner.
Information Security
We maintain administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, use, disclosure, alteration, or destruction. Access to confidential client information is restricted based on legitimate business needs and applicable legal requirements.
No system or method of transmission is completely secure. Please protect your account credentials and notify us promptly if you suspect unauthorized access to your account or information.
If a security incident occurs, we will take appropriate responsive measures and provide notifications required by applicable law.
Records Retention
We retain information for the period reasonably needed to provide services, maintain appropriate business records, satisfy legal and professional obligations, and address disputes or claims.
Our records policy generally provides for retention of client records and workpapers for at least six years after completion of the related engagement. If the firm dissolves, its policy provides for retention of those records for at least six years after dissolution. Longer retention may apply where required by law or justified by continuing tax matters, legal holds, or other legitimate needs.
Website inquiries and other nonclient information may be retained for shorter periods based on their purpose. When information no longer needs to be retained, we take appropriate steps to securely dispose of it.
Requests for the return of client records are handled in accordance with applicable law and professional obligations. We may retain copies as permitted or required.
Your Choices and Requests
You may contact us to request access to, correction of, or deletion of information we maintain about you. We will evaluate and respond to requests in accordance with applicable law. We may need to verify your identity or authority before acting.
Deletion requests are subject to applicable record-retention requirements and other lawful reasons for retaining information. Depending on your location and the laws applicable to our business, you may have additional privacy rights.
You may opt out of promotional emails using any unsubscribe instructions provided or by contacting us. We may continue to send necessary engagement, transaction, security, and legal communications.
If you wish to change or withdraw a separate authorization, contact us. We will handle the request according to the authorization’s terms and applicable law; it will not reverse disclosures already lawfully made.
Third-Party Services
We use third-party platforms for functions such as website hosting, scheduling, secure client communications, and payments. Their privacy notices may also apply to information they collect directly.
Links to independent third-party websites are provided for convenience. We do not control those websites’ privacy practices. Our use of third-party platforms does not eliminate our own responsibilities for information we disclose to them.
Changes to This Policy
We may update this Privacy Policy to reflect changes in our practices or applicable requirements. Updates will be posted with a revised effective date.
Where required, we will provide additional notice or obtain consent before implementing a change. Posting an updated policy does not replace any legally required consent.
